Payer Information

The Payer Information page provides a centralized directory of all payers your organization works with. You can add, edit, delete, and import payer records, and Lilee automatically matches extracted payer data from incoming documents against this directory.

Navigate to Payer Information from the left sidebar.

Note: The Payer Information page is available to provider organizations. It appears in the left sidebar navigation for provider orgs alongside High Dollar List and Patients. If your organization is configured as a payer, this page is not visible in the navigation.

Payer Table

The payer table displays all payer records in your organization's directory. Each row represents a payer entity (an insurance company, health plan, or managed care organization) that your organization interacts with during Utilization Management (UM) workflows.

Working with the Table

Search: Use the search bar to find payers by name or other identifying information.

Refresh: Click the Refresh button to reload the payer table with the latest data.

Add a payer: Click the add button to create a new payer record. Enter the payer's details and save.

Edit a payer: Click on a payer row to edit the record. Update any fields and save your changes.

Delete a payer: Select a payer and confirm deletion. Use caution when deleting payers that have been matched to existing documents.

All create, update, and delete operations on payer records are tracked in the audit trail.


Importing Payer Data

If you have an existing payer directory in a spreadsheet, you can import it into Lilee in bulk rather than creating records one at a time.

Import Process

  1. Click the Import button at the top of the Payer Information page to open the import modal.

  2. Prepare your import file in CSV or Excel format. Each row should represent one payer record.

  3. Upload the file using the file picker or drag and drop.

  4. Review the import preview to verify that the data maps correctly to Lilee's payer fields.

  5. Confirm the import to create the payer records.

Import Tips

  • Check your file format before uploading. Lilee accepts CSV and Excel (.xlsx) files. Ensure your column headers are clear and consistent.

  • Review the mapping. After uploading, verify that each column in your file is mapped to the correct payer field in Lilee. Mismatched columns can result in data appearing in the wrong fields.

  • Duplicate handling. If your import file contains payers that already exist in the directory (matched by name or identifier), review the duplicates and decide whether to update existing records or skip them.

  • Start with a small batch. If you are importing a large payer directory for the first time, consider importing a small subset first to validate the format and mapping before running the full import.


How Payer Information Connects to Authorization Processing

The payer directory is not an isolated reference list — it plays an active role in Lilee's document processing and authorization workflows.

Automatic Payer Matching

When Lilee processes an incoming document, the AI extraction pipeline identifies payer information from the document content (for example, the insurance company name on an authorization request form). The system then attempts to match this extracted payer name against your payer directory.

When a match is found:

  • The document is linked to the known payer record.

  • Payer details (name, contact information, identifiers) are pre-populated in the document analysis and authorization review screens.

  • You can verify the match and proceed with the authorization workflow.

When no match is found:

  • The extracted payer name is flagged for review.

  • You can manually match the extracted name to an existing payer in your directory or create a new payer record.

Payer Validation Workflow

During document review, payer validation works as follows:

  1. Lilee extracts the payer name and any identifying information from the document.

  2. The system runs a matching algorithm against your payer directory.

  3. On the document detail view, you see the validation result:

    • Matched — the payer was found in your directory. The matched record is displayed for confirmation.

    • Unmatched — no match was found. You can correct the payer information or add a new payer to the directory.

  4. You can update the payer validation if the initial match is incorrect — for example, if the extracted name was abbreviated or misspelled and the system matched the wrong payer.

Why Payer Matching Matters

Accurate payer matching has several downstream effects:

  • Authorization accuracy. When Lilee submits an authorization to your EHR, the payer information must be correct. Matching against a verified directory reduces errors and rejections.

  • Reporting consistency. Payer-level reporting (volume by payer, turnaround time by payer, denial rates by payer) depends on documents being consistently linked to the correct payer records.

  • Workflow routing. As Lilee expands its automation capabilities, payer-specific rules (such as different turnaround time requirements or custom fields per payer) will reference the payer directory.


Managing Your Payer Directory

Keeping Payer Data Current

Your payer directory is most effective when it reflects your organization's current payer relationships. Consider these practices:

  • Import your full directory early. When onboarding with Lilee, import your complete payer directory so that automatic matching works from day one.

  • Add new payers promptly. When a document arrives from an unrecognized payer, create the payer record during the review process so that future documents from the same payer are matched automatically.

  • Review and clean up periodically. Over time, you may accumulate duplicate or outdated payer records. Periodically review your directory to merge duplicates and remove payers you no longer work with.

Payer Data and the Ellie AI Assistant

When you use Ellie (Lilee's AI chat assistant), it can reference your payer directory for lookups. Ellie's payer search tool allows you to search for payer information by name, and Ellie can reference payer data when answering questions about a document's authorization context.


Compliance Notes

  • HIPAA: Payer records may contain business-sensitive information. Handle payer imports and exports with appropriate care.

  • Audit trail: All payer record changes (creates, edits, deletes, imports) are logged in the system audit trail for compliance purposes.


Frequently Asked Questions

Can I export my payer directory? The payer table displays all records in your directory. Export functionality for payer data will be available in a future release.

What happens if I delete a payer that is linked to existing documents? The documents remain in the system, but the link between the document and the payer record is removed. Payer information that was already extracted and saved on individual documents is preserved — the deletion only affects the directory lookup for future matching.

Can payer organizations use the Payer Information page? The Payer Information page is available to provider organizations, where it helps manage the directory of payers that send approvals, denials, and clinical requests. Payer organizations do not see this page in their navigation.

How does Lilee handle payer name variations? Lilee's matching algorithm accounts for common variations such as abbreviations, name differences (for example, "Blue Cross Blue Shield of Texas" versus "BCBS TX"), and minor misspellings. However, highly abbreviated or unusual name formats may not match automatically. In those cases, you can manually match the payer during document review, and Lilee will learn from the correction for future documents.
